The Maschhoffs, one of the largest independent pork producers in the U.S., is seeking an Executive Administrative Assistant.
This role will support our Chief Executive Officer with day to day business.
Job Title:           Executive Administrative Assistant to CEO              
Reports To:          Chief Executive Officer                                                   
Job Overview:
Provide effective and innovative executive-level administrative support to the Chief Executive Officer of our company. 
Improve the productivity of the CEO through efficient planning, disciplined time management and effective information and constituency management. 
Apply sound business judgment to make timely decisions, prioritize workloads, and operate independently in a fast-paced work environment. 
Utilize strong written and verbal communication skills to assist the CEO in his/her interactions with internal and external stakeholders. 
Serve as the face of the CEO office with a high level of professionalism in personal appearance, demeanor, and communications. 
Demonstrate a spirit of teamwork and collaboration across the company.
Typical Duties of the Executive Administrative Assistant to the CEO include:
Effectively manage, coordinate, route and track all inbound and outbound communications (email, telephone and mail)
Prepare draft documents, reports, presentations and correspondences for review and/or signature from dictation, handwritten notes,
conversation or utilizing independent thought
Manage the calendar of the CEO to insure that time is focused on value maximizing activities that are consistent with the values,
vision and objectives of the business; provide the CEO will all required preparatory materials
Synthesize information and articulate insights relevant to decision making for the CEO
Schedule and maintain all travel of the CEO
Serve as the operating ‘owner’ of high priority programs sponsored by the office of the CEO, ensuring efficiency and delivering results
Serve as lead planner for events that are sponsored by the CEO, including the company’s annual Horizon Conference
Facilitate all Executive Committee and Board of Director meetings by planning agendas, developing and distributing presentations and reports,
and capturing meeting minutes and follow-up action plans
Serve as host to VIPs and guests of the CEO
Manage day-to-day personal activities and other routine tasks of the CEO
Document best practices and coordinate efforts of other Executive and Administrative Assistants
Handle confidential matters appropriately and with complete discretion 
Minimum Qualifications          
Bachelors Degree in business administration or related field required.
Ten years of executive administrative assistance or related experience required.  Three to five years of executive administrative assistance to CEO,
President or equivalent strongly preferred.
Knowledge, Skills and Abilities                                                                                                          
Knowledge of:
Executive level administrative best practices.
Microsoft Office Software Suite (Word, Excel, Outlook, PowerPoint, OneNote) – moderate to expert level.
Electronic filing systems, including Microsoft OneNote and SharePoint.
Audiovisual, print, scan, copy, office equipment operational knowledge.
Multi-line switchboard and messaging systems.
Skills in:
Strong verbal and written communications.
Excellent organization and planning.
Productive multi-tasking.
Competent typing (60 wpm).
Ability to:
Demonstrate professionalism in demeanor, appearance, and communication.
Solve problems and exercise sound business judgment to make decisions.
Operate independently and demonstrate initiative.
Recognize workload priorities and plan effectively.
Adapt readily to new software systems.
Be productive in a fast-paced work environment.
