Summary:

JOB SUMMARY
The Executive Assistant will be responsible for executive support for the President of B-Line.  Executive Assistant will be responsible for managing calendar, organizing travel and coordinating meetings.   The Executive Assistant will provide monthly analysis and reporting on budgets and metrics.   The incumbent will develop presentations, letters and communications and will be able to do so with limited information.


DUTIES AND RESPONSIBILITIES
Calendar & Contact Management –
-Microsoft Office Schedule
-Resolve conflicts – transparent to exec
-Prioritize meetings and appointments to make effective use of exec’s time
-Time management for exec
-Manage calendar in multiple time zones around the world
-Meeting preparation – WebEx, telecons, agendas, pre-work, conference room set up
-Active scheduling to ensure maximum participation
-Ensure agenda and attendees are clear to maximize use of meeting time
-Prep exec for upcoming meetings/actions – ensure actions are complete, presentations done in advance, and materials available
-Active management of contact lists
-Meeting arrangements and coordination for several hundred participants to major events


Travel –
-Organize travel globally
-Anticipate challenges, provide alternatives
-Ensure logistics are seamless and complete
-Ensure lowest cost and identify ways to make most efficient use of time and money
-Arrange travel well in advance
-Ensure itinerary is complete with contact information, directions, etc
-Complete Expense statements per corporate policy


Reports, Analysis, and Presentations –
-Monthly budget management and review
-Monthly/Weekly Ops Metrics
-Financial Metrics
-Able to interpret and prepare information in an executive summary
-Able to develop spreadsheets and graphs to clearly articulate
-Develop graphs to visually summarize data sets
-Able to take concepts and turn them into professional presentations
-Prepare presentations of CEO and Board of Director Level quality


General –
-General phone support
-Filing – both hard copy and electronic documents
-Special projects
-Other duties as assigned
-Able to draft letters and general communications with limited information


MINIMUM REQUIREMENTS
-Advanced proficiency MS Office (Word, Excel, PowerPoint, Outlook, Adobe Acrobat)
-Knowledgeable in SAP
-Detail oriented, excellent written and verbal communication skills, able to handle multiple priorities and anticipate/resolve issues before they arise
-Available 24/7 as required
-Able to operate effectively with minimal information
-Self motivated
-Able to balance short and long term priorities
-Excellent communication and organizational skills
-Electronic communication skills (email, voicemail, web)
-Advanced organizational and time management skills and ability to handle multiple projects or tasks
-Ability to communicate with all levels of management, manage multiple priorities, communicate effectively verbally and in writing.
-Ability to maintain a high level of confidentiality is required
-BA in Business or equivalent
-3+ years of administrative experience supporting senior executives with global responsibilities.
